Jennifer - I assume all you need for the registration form is the hotel information? Susan Actually, we are assembling a notebook about the event, so when you have ANY handouts prepared (for example: when you and programs coordinate the schedule/campus map, or if we have a bus schedule, a list of restaurants,...) then we'd like a copy (via email so we can add graphic or letterhead) to put in the notebook too.--PR/PUB
*We are booking the Courtyard Marriott for our accommodations. This is where we will have a block of rooms for all participants. We are also providing two other options, the Double Tree and the Hilton Garden, should they prefer one of these.

Debbie Glasscock David Cook and I had a brief discussion about some of the following ideas:
No bottled water served during conference - Sponsors could donate $ for re-usable water bottles that participants can refill. Serve Fair-Trade coffee in GPS mugs - no styrofoam cups!
Have recycle containers placed around school for any plastic bottles that participants may bring/buy
Walking (guided?) tours to GPS from downtown hotels. Limit the bus we use to pick them up. Or encourage the electric shuttle bus.
Serve food from local farmers and/or bakeries for breakfast and lunch
Communications via email - limit printed materials
If providing participants with something to carry info in, use re-usable "shopping" bags (?)Publix offers shopping bags for $1.00. Can we get them to donate the bags? Great advertising for them as the bags say "Publix". They could then be listed as a sponsor.
7. Buy carbon offsets for those traveling by airplane.

Since this is the 40th anniversary for Earth Day, we thought GPS science dept. would be putting together our own recyclable bags. If you haven't approaced Publix yet, talk to me about this in the discussion area and we see if that will work for this conference. Linda D.
